Set a guest limit and a waiting list

Capacity limit closes replies once the number of people coming reaches your limit. With Waiting list on, guests who reply after that join a waiting list, and you decide who moves up.

Set a limit

  1. Open Invitation in the menu on the left. RSVP settings is just below Share invitation.
  2. Turn on Capacity limit and confirm with Apply.
  3. Type the number of people who can come.

The limit counts people, not replies: a family of four who are coming takes four places. Guests you mark as coming yourself count too. Setting or changing a limit needs the free trial or Premium; removing it is always free.

When the event is full

  • Without a waiting list, nobody new can reply that they are coming, and the invitation tells guests the event is full.
  • Guests who are already coming can still come with fewer people or cancel.
  • Once 8 or fewer places are left, the reply form shows how many remain. Without a waiting list, a guest can only reply for as many people as still fit.
  • You can still mark a guest as coming yourself with Edit guest, even when the event is full.

The waiting list

Once Capacity limit is on, you can also turn on Waiting list. When the event is full, a guest who says they are coming joins the waiting list instead of being turned away, and sees On the waiting list. A party bigger than the places left joins it too.

  • Guests on the waiting list appear in Guests as Waiting list, with the number of people in their reply. They do not take any places.
  • With an email address, they get a confirmation that says they are on the waiting list.
  • When someone cancels or comes with fewer people while guests are waiting, you get a notification that a place has opened up.
  • Nobody moves up automatically. To give a guest a place, open them with Edit guest and set them to Attending. This sends them nothing, so let them know yourself.

Limits for programme parts

With programme parts on, each part can have its own Capacity. When a part is full it stops taking replies and guests see This part is full; they can still reply to the other parts. Parts have no waiting list.

Frequently asked questions

Does the limit count replies or people?

People. Each reply counts as the number of people in it, the guest included.

Is someone moved up from the waiting list automatically?

No. You are notified when a place opens up, and you choose who moves up.

Can I let in more people than my limit?

Yes. You can mark a guest as coming yourself, or raise the limit in RSVP settings.
