Tasks and the ready-made checklist
Tasks is your event's to-do list. Start from a ready-made checklist for your type of event, give tasks a date and reminders, and assign them to someone on your team. It is free.

Open your tasks
- Choose your event and open Planning, then Tasks, in the menu on the left.
- Open the Planning tab and tap Tasks.
Tasks belong to one event. Everyone on its team sees the same list, updated live; viewers can read it but not change it.
Start from a ready-made checklist
- Press Add a ready-made checklist.
- Untick the tasks you do not need, then add the rest.
- Tap the checklist button at the top of the screen, or Add a ready-made checklist on an empty list.

Every type of event has its own checklist, dated back from your event day; a wedding checklist includes registering the marriage in your country. Your event needs a date first. Tasks whose usual date has already passed are spread out from today, and tasks already on your list are not added twice.
If your event date changes, the list offers Move tasks to move the checklist tasks to the new date.
What a task can hold
- A Title, Notes, a Category and a Priority.
- A Due date and, if you like, a Time.
- Steps: small steps you tick off one by one.
- Assigned to: yourself (Me) or someone on your team. They get a notification. Viewers cannot be given tasks.
- Some checklist tasks have a button that opens the right place, such as Open the seating plan.
Show your tasks By date or By category, and search or filter them. Tasks with a date also appear in My calendar: see your calendar.
Reminders
A task with a date reminds you on the morning of the day before, or one hour before if it has a time. Under Reminders you can choose one or more other moments, from At the time to 1 week before, or No reminder.
Reminders arrive as push notifications and in the bell, not by email. They go to the person the task is assigned to; a task with nobody assigned reminds the owner, co-hosts and organisers. Turn them off with Planning reminders in Notification settings.
Frequently asked questions
Do tasks send me emails?
No. Reminders come as push notifications and in the bell. To see your tasks in your own calendar app, use the calendar feed.
Is there a checklist for a birthday or a corporate event?
Yes. Every type of event has its own ready-made checklist.
Can my partner see and tick off tasks?
Yes, if they are on your team as a co-host or organiser. Viewers can only read the list.
Is there one to-do list for all my events?
No. Tasks always belong to one event.
