Send a save-the-date

For weddings, you can email guests a short save-the-date card before you publish your invitation: the date, the place and a calendar file. Guests are not asked to reply, and each guest receives it once.

What the card contains

  • Your own design or cover photo, if you uploaded one.
  • Your event's name, the date or dates without a time, and the place as you write it.
  • A line saying that a formal invitation will follow.
  • A calendar file. When your invitation goes out later, it updates the same calendar entry instead of adding a second one.

Guests are not asked to reply. The card has no web page of its own: it is the email itself.

How to send it

  1. Open Planning, then Tasks.
  2. Find the task Send save-the-dates and press Send the save-the-date.
  3. Check the date and the Place, as it will appear, which you can change, for example to just the city.
  4. Press the send button. It shows how many guests the card will reach.

The task comes with the wedding checklist. If it is not in your list, press Add a ready-made checklist in Tasks to add it.

Who receives it

Every guest with an email address who has not declined and has not asked for no emails. Each guest receives it once: if you send again later, only guests you have added since receive it. Guests who share one email address get one card.

Before you send, the window tells you how many guests have no email address, asked for no emails or already have one.

When you can send it

  • Only for weddings, from the wedding checklist.
  • Only before you publish the invitation. Once it is published, send the invitation instead.
  • Your event needs a date.
  • It needs the free trial or Premium, and each send counts towards your daily email limit.
  • Team members with the Viewer role cannot send it.

Frequently asked questions

Can I send a save-the-date for a birthday or another event?

No, it is only available for weddings. For other events, publish your invitation when you are ready and send it.

Do guests need to reply to the save-the-date?

No. It only asks them to keep the date free. They reply later, to the invitation.

Can I send it to everyone again?

No. Each guest receives it once. Sending again only reaches guests you have added since.

Can I write my own text?

Only the place line. The rest comes from your event: its name, the date and your design or cover photo.
