Budget and payments
Set a budget, add each cost with its payments, and see at a glance what is paid and what is left. The budget is free, and everyone on your event's team sees the same figures.

Set your budget and add costs
- Go to Planning and open Budget.
- Press Set budget and enter the total you plan to spend.
- Add each cost with Add cost: a title, the amount you agreed, a category and, if you like, the supplier and notes.
The summary at the top shows your Planned budget, Total costs, Paid and Remaining. Remaining is your budget minus all your costs, paid or not, so you see a shortfall before the money is spent. Below it, the cost per guest is worked out from the number of people you have invited.
Deposits and instalments
A cost can be paid in parts. Under Payment schedule, add a Deposit, an Instalment or the Balance, each with its own amount and due date. Tick a part when you have paid it. A cost counts as paid when its paid parts cover the full amount, or when you tick the cost itself.
- Upcoming payments lists what is due in the next 30 days and marks anything overdue.
- You get a reminder three days before a payment is due and on the day itself. Reminders are notifications in the app, not emails.
- Payments with a due date also appear in My calendar. See your planning calendar.
Categories and targets
Each cost belongs to a category, such as Venue, Catering or Music. In Category targets you can give each category its share of the budget, or press Use suggested split to split it the way your type of event usually goes; you can change any figure afterwards. Switch between By category and All costs to see your costs either way.
A task in the Payment category that has an amount also appears in the budget, marked Task. Ticking the task off counts it as paid.
More than one currency
Each cost has its own currency, so you can record a venue abroad in its own money. Amounts are never converted: when you use more than one currency, the budget keeps a separate summary for each, and you switch between them at the top. Your planned budget is also set per currency.
Share it with your team
The budget belongs to the event, so everyone on its team sees the same figures, updated live. A Co-host or an Organiser can add and change costs; a Viewer can only look. Your guests never see the budget. See inviting your partner or planner.
With a paid subscription, the event owner can email themselves the whole budget as Excel or PDF from Back up & restore in the profile.
Frequently asked questions
Is the budget free?
Yes. The budget and the other planning tools are free with no time limit. Only exporting it to Excel or PDF needs a paid subscription.
Can my guests see our budget?
No. The budget is only for you and your team. It never appears on your invitation.
Why does Remaining go down before I have paid anything?
Remaining takes off every cost you have added, paid or not, so you know how much is still free to spend. What you have actually paid is shown under Paid.
